Privacy Policy We Verify NKY
Effective Date: 08/01/2026
Last Updated: Initial Version
We Verify NKY ("We Verify NKY," "we," "us," or "our") provides mortgage and insurance field services, including property inspections, occupancy verification, property preservation, and related services, to mortgage servicers, lenders, asset managers, insurance companies, and managing general agents ("Clients") throughout Boone, Kenton, and Campbell Counties, Kentucky, the greater Cincinnati, Ohio market, and surrounding areas.
This Privacy Policy explains how we collect, use, disclose, and protect information in connection with our website (www.weverifynky.com, the "Site"), our vendor/field-representative onboarding process, and the field services we perform for our Clients. It is written to reflect applicable Ohio and Kentucky law. Please read it carefully.
By using the Site or engaging with our services, you agree to the practices described in this policy.
1. Who This Policy Applies To
This policy covers three categories of individuals:
1. Website visitors - anyone who browses the Site or submits a contact inquiry.
2. Vendors and field representatives - individuals or businesses who apply, or are engaged, to perform inspection or field services on our behalf.
3. Third-party subjects of field services - property owners, occupants, tenants, or borrowers whose property is inspected as part of services we perform *for our Clients*. We generally do not collect this information directly from these individuals; we collect it on assignment from, and for the benefit of, our Clients (see Section 6).
2. Information We Collect
a. Information You Provide to Us
- Contact form / inquiry submissions: name, company name, email address, phone number, and the content of your message.
- Vendor sign-up applications: name, business name, contact information, service area, licensing and insurance information, W-9/tax ID information, references, and any documents you upload as part of onboarding (e.g., proof of insurance, background check consent).
- Client account and engagement information: billing contacts, order/work-assignment details, and communications related to a service engagement.
b. Information Collected Automatically
When you visit the Site, we (or our hosting/analytics providers) may automatically collect:
- IP address, browser type, device type, and operating system
- Pages visited, time on page, and referring/exit pages
- General geographic location (derived from IP address)
- Cookie or similar tracking identifiers, if enabled on the Site
c. Information Collected During Field Service Assignments
When performing inspections or property preservation work assigned by a Client, our field representatives may document:
- Property condition, exterior/interior photographs, and occupancy status
- Observations relevant to the assignment (e.g., signs of vacancy, damage, hazards, maintenance issues)
- In limited circumstances, information about individuals present at or associated with the property (e.g., a borrower or occupant name provided by the Client for verification purposes)
This information is collected as a service provider acting on behalf of our Clients, not as the party with a direct relationship to the property occupant or borrower.
3. How We Use Information
We use the information described above to:
- Provide, schedule, and deliver field service assignments to our Clients
- Communicate with website visitors, vendors, and Clients
- Onboard, vet, and manage our network of field representatives and vendors
- Maintain accurate business and billing records
- Improve and maintain the Site's functionality and security
- Comply with legal, contractual, and regulatory obligations, including those imposed by our Clients (see Section 8)
- Prevent fraud and protect the safety and integrity of our operations
We do not sell personal information to third parties, and we do not use inspection or property data collected for clients for our own independent marketing purposes.
4. How We Share Information
We may share information with:
- Our Clients - mortgage servicers, lenders, asset managers, and insurance companies for whom we perform the underlying assignment. Property inspection reports, photos, and occupancy findings are delivered to the Client that requested the service.
- Field representatives and subcontractors - engaged to carry out inspection or preservation assignments, subject to confidentiality and data-handling expectations.
- Service providers - such as website hosting, email, scheduling, and payment-processing vendors, who process information on our behalf.
- Legal and regulatory authorities - where required by law, subpoena, court order, or to protect our rights, safety, or property.
- Successors - in connection with a merger, acquisition, or sale of business assets, subject to standard confidentiality protections.
We do not share personal information with third parties for their own independent marketing purposes.
5. Cookies and Tracking Technologies
The Site may use cookies or similar technologies to support basic functionality and, if enabled, analytics (e.g., to understand how visitors use the Site). You can control cookies through your browser settings; disabling cookies may affect some Site features. We do not currently use cookies for cross-site behavioral advertising.
6. Nonpublic Personal Information & Our Role as a Service Provider (GLBA Note)
Because our Clients are mortgage servicers, lenders, and insurance companies, some information we handle in connection with an assignment may constitute “nonpublic personal information (NPI)” about a Client's customer or borrower, subject to the “Gramm-Leach-Bliley Act (GLBA)” and its Safeguards Rule. As a service provider to financial institutions and insurers, we:
- Handle such information only as instructed by the applicable Client and only for the purpose of completing the assigned service.
- Maintain administrative, technical, and physical safeguards designed to protect this information.
- Do not use NPI obtained through an assignment for any purpose outside that engagement.
- Require our field representatives and vendors to handle such information confidentially.
If you are a borrower or property occupant with questions about how your information was used in connection with a lender's or servicer's assignment, please contact that lender/servicer directly, as they are the party with the primary relationship and disclosure obligations to you.
7. Data Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, alteration, or disclosure, consistent with the recommendations of the “Ohio Data Protection Act” framework. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If we experience a data breach involving personal information as defined under “Ohio Revised Code § 1349.19” or “Kentucky Revised Statutes § 365.732”, we will notify affected individuals and any required regulators in accordance with those laws.
8. Your Privacy Rights
Ohio Residents
Ohio does not currently have a comprehensive consumer privacy statute granting general access, deletion, or opt-out rights. Ohio residents may still contact us (Section 11) with any privacy-related request, and we will respond as appropriate.
Kentucky Residents
The “Kentucky Consumer Data Protection Act (KCDPA)”, effective “January 1, 2026”, grants Kentucky consumers certain rights regarding their personal data, where applicable. Subject to the Act's scope and exemptions (including its business-size thresholds and exemptions for data processed in a business-to-business or service-provider capacity), Kentucky residents may have the right to:
- “Confirm” whether we are processing their personal data and **access** that data
- “Correct” inaccuracies in their personal data
- “Delete” personal data provided by or obtained about them
- “Obtain a portable copy” of their personal data
- “Opt out” of the processing of personal data for targeted advertising, the sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects
We currently do not sell personal data or use it for targeted advertising. To exercise any applicable right, contact us using the information in Section 11. We will verify your request before responding and will respond within the timeframe required by law. You may appeal a denied request by contacting us; if the appeal is denied, you may contact the Kentucky Attorney General.
9. Data Retention
We retain personal information, vendor records, and inspection/service records for as long as reasonably necessary to fulfill the purposes described in this policy, meet contractual obligations to Clients, and comply with legal, tax, insurance, and regulatory recordkeeping requirements. Retention periods vary by record type and applicable Client contract terms.
10. Children's Privacy
The Site and our services are directed to businesses and adults in the mortgage, insurance, and property services industries. We do not knowingly collect personal information from individuals under 18. If you believe a minor has provided us information, please contact us so we can delete it.
11. Third-Party Links
The Site may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites and encourage you to review their privacy policies and terms of use/services.
